The on-site medical assistant will support the medical director with all aspects of patient visits. The medical assistant will ensure service excellence by becoming familiar with the specialized medical expertise of the ·examination of children victims of physical and sexual abuse. She/he will assist children and their parents in addressing the many concerns when abuse is suspected. She/he will help answers the questions that parents may have, such as "why does my child have to go through one more thing after she/he has been through so muchy" or "is the same as an adult female gynecologic examination with a vaginal speculum and internal"y 1. Schedule appointments using IDX system: Cases are referred by the MDT team and decision for medical examination is made by Dr. Brown. All referrals are tacked using the excel log Starting January 4th, open slots will be given to the MDT .team/coordinator , so that the team can give an appointment to sexual abuse cases only upon the forensic interview. All appointments will be confirmed by the medical assistant and with the parent and the ACS/and/or detective. All no show appointments will be rescheduled up to 3 times: each time the referral source (ACS/SVU detective) will be notified; after three failed appointments, the patient will be discharged with notification to the referral source. If the child is in foster care, a foster care package needs to be. completed at the time of the scheduling of the appointment 2. Register patients upon arrival: Maintain strict patient confidentiality Conform to all applicable HIPAA guidelines Collect parental consent forms And ensure that the parent guardian has completed all paperwork (DV form, parent medical form) 3. Assist the child abuse clinician during the examination: Set up examination/consultation/treatment rooms at the start of each day for patient visits Remove physician/supplies from examination/consultation/treatment rooms at the end of the physician session Clean room in between patients Take vital signs, enter in EMR 4. Collect specimen,process to the lab and print results 5. Digital photographic images & EMR Digital images need to be backed up on the P:/ drive CD are created upon request 6. Comply with subpoena/ summary exams as requested 7. Maintain statistics of Subpoena requests Number of referrals Number of exams, FRE reimbursement Court appearance 8. Complete FRE and billing for physical abuse cases: FRE reimbursement is key to the function of the Center; social security number should be obtained when possible prior to the scheduled visit 9. Clerical duties Help with clerical duties such as keeping the examination room stocked with requisitions, forms, medications, medical supplies, sexual offense rape evidence collection kit; maintain adequate inventory of medical supplies (place orders); answer phone inquiries, take complete and accurate messages and schedule new and missed appointments and follow-up 10.
