Medical Receptionist Division of GI/Endocrine Surgery ASAP-Indef (Covering a Leave) 161 Fort Washington Avenue 8th floor NY NY 10032 8am-4pm Rodelyn Zapanta SUMMARY OF RESPONSIBILITIES: The receptionist is responsible for a patient friendly yet efficient front-end process for all patients for the providers who practice on HIP8. The Receptionist will ensure that all patients, visitors, guests and co-workers receive personalized, prompt attention and are treated with receptiveness, dignity and respect. This individual will serve as the front-end representative of the physician practice. It is necessary that this person have excellent interpersonal skills, ability to work in a multi-disciplinary center, and be efficient and organized. Must be able to handle a high volume front area and maintain composure. Demands an emphasis on patient satisfaction by exhibiting a professional yet compassionate decorum. DUTIES: Greet all patients in a professional and welcoming manner Direct those who are lost to the correct area as needed Develop system with receptionist Admin Manager of IP8 to establish check in flow on days there are multiple providers. Confirm accurate demographic data for ALL patients– address and phone numbers and update in IDX. Scan all medical records into CROWN with appropriate identifiers as soon as possible to allow the clinical team to start their notes. Process patient arrivals through IDX and MPV. Ensure proper referrals and/or pre-certifications are in place. Verify insurance eligibility before check in Complete front end payment posting and close out batch at the end of the day and give to Admin Manager for proper lock up. Ensure ledgers match payments. Confirm the referral agency field in CROWN is populated for all new patients. Populate FYI box in CROWN with accurate referral MDs with phone number and fax. Collect all co-pays and patient fees (cash, check, or credit card) at time of service, including any outstanding balances. Follow up on uncollected copay report and balance due reports Adhere to all Meaningful Use metrics and guidelines Update location in CROWN for all pts ready to be brought to exam room Communicate effectively with the MAs, nurses, providers and secretaries to ensure efficient work flow either by intercom system or approaching them directly. Actively peruse schedule to ensure that no patients get “forgotten” in waiting room or if you want to check with the practice to get information so the patients can be updated. Updating patients of extensive wait times, offering refreshments or giving options to leave area and take their cell phone # to call when ready. Must check with providers first. Provide all standard check out functions including all follow up scheduling and preparing paper requisitions for lab work Work closely with all Divisional Administrators to alert them of any issues and follow any specific protocol for their practices. Work closely with the secretaries and check out swing staff that will share the reception area on certain days. Answer phone in a pleasant/responsive manner and direct all calls appropriately. Take messages that are clear and legible and disseminate. Responsible to work out lunch/break coverage with other IP receptionist. Provide additional administrative support as needed during down times. Ability to schedule New Visit appts and walk in appts in IDX. Print labels as needed for particular practices. File and scan chart notes and other medical information in appropriate chart and electronic medical record system, following proper charting procedures. Ensure physician billing is in requisite Division format prior to delivery to billing department. Ensure that all patient visits have billing documentation that is submitted to the billing department, including but not limited to all relevant and accurate patient demographic and insurance information. Participate in the transport of copayments and documentations to Business Office at Audobon within policy guidelines. Faxing and copying as requested. Alert Admin Manager or practice secretary of any issues that may arise during check in and request support if needed Maintain a neat and orderly work area. Maintain a neat and orderly waiting room, call housekeeping as needed and alert Admin Manager if additional support is needed. Will attend staff meetings as requested. Conforms to all applicable HIPAA, Billing compliance and safety guidelines. Other duties as requested QUALIFICATIONS: High School Graduate 1-2 year related experience, 2 years of experience in Customer Service related function. Possess knowledge of modern office equipment, systems and procedures. Ability to work independently and takes initiative to improve overall office operations. Strong interpersonal skills….
