Center for Lymphoid Malignancies Position: Medical Secretary Responsible To: Dr. Owen A. O’Connor Job Summary: Medical Secretary will be responsible for assisting in handling a front end oncology office as needed. Job Responsibilities: include, but are not limited to the following: * Meet and greet patients in a professional cordial manner. * Answer telephone and triage calls/messages to all applicable parties throughout the work day. * Schedule and confirm appointments for office. * Obtain demographics and insurance prior to visit to ensure account is secured prior to visit. * Update demographics/edit accounts using GE/IDX Web . * Verify patient’s insurance eligibility using GE/IDX MPV and web based eligibility software. * Arrive patients, request insurance cards and picture ID, and obtain all medical records from new patients. * Obtain at check-in HIPPA/consents and all necessary intake forms. * Obtain insurance referrals for specialists and procedures. * Obtain Order forms via electronic medical record task list from physicians and obtain pre-certifications according to Managed Care guidelines. * Follow cash management FPO guidelines by collecting TOS payments and account balances prior to patient visit, perform e-check and credit card(CC) transactions, generate daily TOS Cash/Check and CC logs, patient receipts, prepare deposits and reconcile against daily schedule. * Access patient account inquiry on GE/IDX to respond to patient inquiries. * Assist in ordering and maintaining the office and medical supplies * Assist with obtaining pre-authorization for chemotherapy and ancillary medicines to be given at Columbia Doctors Midtown *Assist in the management of the Columbia Doctors Midtown infusion suite schedule and coordinating the deliveries of chemotherapy and ancillary medicines to the site. * Act as the lead medical secretary for the front desk, especially during times of the supervisor’s absence. * Perform any additional tasks as needed. * Conforms to all applicable HIPAA, Billing Compliance and safety guidelines. * Employee will ensure patient centered care by demonstrating behaviors that reflect a Culture of Service and will strive to meet the expectations of the “Seven Competencies”. Integrity and Credibility Educational Requirements: College degree preferred; related working experience may substitute for advanced education and/or experience. At least 1 year of related work experience preferred. Qualifications and Experience: Knowledge of IDX Web Scheduling, IDX Term Applications and Allscripts (CROWN) applications preferred Knowledge of Microsoft Office 2010 Applications preferred Working knowledge of Managed Care, Medicare and Medicaid Insurances, with an overall understanding of how the insurance plans work, including referrals and pre-authorizations preferred Computer literate to include keyboarding skills Proven experience handling irate patients, dealing with conflict, and troubleshooting Pleasant speaking voice and demeanor Neat, professional appearance Strong written, and verbal communication skills Highly detail oriented and organized Teamwork effort, fosters collaborative working environment with patients and co-workers. Salary 19.50/Hour
